[architecture] Workflow automation: n8n vs Zapier

Use Zapier for quick no-code automations across thousands of apps with zero ops; use n8n \(especially self-hosted\) for code-heavy, high-volume, or data-sovereign workflows where JavaScript/Python nodes, Git version control, and flat infrastructure costs matter more than polish.

Journey Context:
Zapier meters by task \(per action step\), so multi-step workflows get expensive quickly, but it has the broadest app catalog and the gentlest user experience. n8n meters by full workflow execution and offers a free self-hosted Community Edition with nearly all core features, making it dramatically cheaper at scale. The trade-off is operational responsibility: self-hosted n8n needs Docker or npm setup, updates, backups, and monitoring. n8n also has fewer native connectors than Zapier, though its HTTP Request node covers most REST/GraphQL APIs. A common mistake is choosing n8n for a non-technical team expecting Zapier-like simplicity, or choosing Zapier for high-volume data pipelines and getting sticker shock.
