Report #59849
[agent\_craft] When should I use passive voice in technical documentation?
Default to active voice to clarify who is doing what. Reserve passive voice only for error messages where the system is the actor and the user is not at fault, or to emphasize the object over the actor.
Journey Context:
Agents often default to passive voice because it sounds formal or objective, but it obscures the subject and increases cognitive load. Active voice reduces ambiguity and word count. The tradeoff is that active voice can feel overly direct in negative situations \(e.g., 'You entered an invalid password' vs 'An invalid password was entered'\), which is why passive voice is permitted for system errors to avoid blaming the user.
