Use active voice and state facts directly. Replace 'The file was not found by the system' with 'The system did not find the file.' Avoid hedging words like 'seems,' 'maybe,' or 'just.'

The tradeoff is that absolute statements require absolute confidence; if uncertain, state the specific condition of uncertainty \('If X happens, Y occurs'\) rather than vague hedging.
